The Coastal – Terms and Conditions
By registering for and participating in The Coastal (the “Event”), you (the “Participant”) agree to the following Terms and Conditions.
1. Entry Requirements
Participants must complete the official registration process and provide accurate and up-to-date information.
By entering the Event, participants confirm that they are physically fit and capable of safely completing their chosen distance.
Participants under the age of 16 must be accompanied by a parent or guardian on the course unless otherwise specified for a particular distance.
2. Refund Policy
Refunds will only be considered if a valid medical certificate confirming the participant is unable to participate is provided.
The medical certificate must be submitted no later than three (3) days prior to the event date.
Refunds will not be issued for change of mind, injury without a medical certificate, or scheduling conflicts.
3. Entry Transfers
If you are unable to attend, you may transfer your entry to a family member or friend during the official transfer period.
To transfer your entry, log in to your registration dashboard via your confirmation email, select the Transfer option, and enter the new participant’s details.
Once the new participant accepts the transfer email, the entry will be reassigned to them.
A $5 transfer fee plus applicable transaction fees will apply.
All entry transfers must be completed through the official registration platform. The organisers are unable to manually process transfers.
4. Event Cancellation or Postponement
If the Event is cancelled due to circumstances beyond the organiser’s control, including but not limited to severe weather, natural disasters, pandemics, or civil emergencies, participants may be offered a transfer to a future event or a partial refund at the organiser’s discretion.
If the Event is postponed, all entries will automatically be transferred to the new event date unless otherwise advised.
5. Health and Safety
Participants must follow the instructions of event marshals, staff, and emergency services at all times.
Prams are permitted; however, participants with prams must start at the back of the field for safety reasons.
Bicycles, scooters, skateboards, and pets are not permitted on the course.
Participants must remain on the marked course and follow all event signage.
6. Photography and Media
By participating in the Event, participants consent to the use of photographs and video footage taken during the Event for promotional purposes, including use on social media, websites, and marketing materials related to The Coastal.
7. Participant Responsibility
Participants are responsible for their own personal belongings. The organisers accept no responsibility for any lost, stolen, or damaged items.
Participants acknowledge that participation in the Event involves inherent risks and accept full responsibility for any injury, loss, or damage that may occur during participation.
8. Timing and Results
Official timing will be provided for selected distances.
Participants are responsible for ensuring their race bib is worn correctly and clearly visible to allow accurate timing and results.
Results will be published on the official Event website within a reasonable timeframe following the Event.
9. Event Changes
The organisers reserve the right to modify the course, start times, or other event logistics if necessary for safety, operational, or environmental reasons.
10. Weather and Environmental Conditions
The Event takes place in an outdoor coastal environment and may be subject to changing weather conditions, including wind, rain, heat, and uneven terrain.
Participants acknowledge that weather and environmental conditions may impact the event experience and agree to participate at their own discretion.
The organisers reserve the right to modify the course, delay, postpone, or cancel the Event if conditions are deemed unsafe.
11. Medical Assistance
Participants consent to receive medical treatment that may be deemed necessary by event medical personnel, first responders, or emergency services during the Event.
Participants acknowledge that they are responsible for any medical costs that may arise as a result of treatment received during the Event.
12. Liability Waiver
Participants acknowledge that participation in The Coastal involves inherent risks, including but not limited to slips, trips, falls, weather exposure, and physical exertion.
By participating in the Event, participants agree that the organisers, staff, volunteers, sponsors, and partners of the Event will not be held liable for any injury, illness, loss, or damage sustained during participation, except where required under New Zealand law.
13. Race Bibs and Entry Use
Each participant must wear their assigned race bib during the Event.
Race bibs must not be exchanged, duplicated, or used by another participant unless the entry has been officially transferred through the registration platform.
Running under another participant’s name without completing an official transfer may result in disqualification from results and future events.
Participants must ensure their race bib is clearly visible at all times to allow for accurate timing and identification.
